Privacy Statement

Last updated: October 2026

Hope Church Salford takes your privacy seriously. This statement explains what personal information we collect, why we collect it, how we look after it and what your rights are. It applies to information we collect through this website and when you are involved in the life of the church.

Who we are

Hope Church Salford is a registered charity in England and Wales (charity number 1212087) and a congregation of the International Presbyterian Church. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), Hope Church Salford is the data controller for the information described here.

If you have any questions about this statement or how we use your information, please email us at info@hopechurchsalford.org.

What information we collect

  • Contact details, such as your name, email address, phone number and postal address, when you get in touch with us, fill in a form or join a church list.
  • Messages you send us through the contact form or by email.
  • Church membership and involvement, such as attendance, groups or rotas you are part of, and any roles you hold.
  • Giving information, such as donations and Gift Aid declarations, if you give to the church.
  • Children’s information, such as a child’s name, age, parent or carer contact details and relevant medical or allergy information, when a child takes part in our children’s activities.
  • Technical information, such as your IP address and browser type, which our website and its security tools need in order to work.

Some of this information may reveal your religious beliefs, simply because you are connected with a church. We treat it with particular care.

How we use your information

  • To reply to your messages and questions.
  • To organise church services, activities, groups and events, and to let you know about them.
  • To provide pastoral care and support.
  • To keep children and vulnerable adults safe, in line with our Safeguarding Policy.
  • To process donations and claim Gift Aid from HMRC.
  • To keep our website secure and protect it from spam and misuse.
  • To meet our legal obligations as a charity.

We will never sell your information, and we do not use it for advertising.

Our lawful basis

We only use your information when the law allows us to. Depending on the situation, this will be because:

  • you have given us your consent (for example, to receive our newsletter), which you can withdraw at any time;
  • it is in our legitimate interests as a church to keep in touch with members and regular attenders and to run church life, provided this does not override your rights;
  • we have a legal obligation (for example, keeping Gift Aid records or safeguarding records); or
  • it is needed to protect someone’s vital interests in an emergency.

Where information reveals your religious beliefs, we rely on the condition that allows not-for-profit religious bodies to process information about their members, former members and people in regular contact with them, as long as it is not shared outside the church without your consent.

Who we share it with

Your information is only seen by church leaders and volunteers who need it for their role. We do not share it with anyone else unless the law requires us to, it is needed to keep someone safe, or you have agreed.

We use a small number of trusted service providers who handle information on our behalf and only as we instruct them:

  • ChurchSuite, our church management system, for contact details, groups, rotas, children’s check-in and online giving.
  • 20i, who host this website.
  • Postmark, which delivers emails sent from this website, such as contact form messages.
  • Cloudflare Turnstile, which checks that contact form submissions come from a person and not a spam robot.
  • HMRC, for Gift Aid claims.

Some of these providers may store information outside the UK. Where they do, they are required to protect it to UK standards.

How long we keep it

We keep your information only for as long as we need it. Contact form messages are deleted once they have been dealt with and are no longer needed. Membership and contact details are kept while you are involved with the church and reviewed regularly afterwards. Gift Aid records are kept for six years, as HMRC requires, and safeguarding records are kept for as long as safeguarding guidance requires.

Keeping it safe

We take sensible steps to protect your information from loss, misuse or unauthorised access. These include limiting who can see it, using password-protected systems and using secure, reputable service providers.

Cookies

Our website does not use cookies to track you, and it does not use analytics or advertising cookies. You can find out more in our Cookie Policy.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to limit how we use your information, or object to us using it;
  • withdraw your consent at any time, where we rely on consent; and
  • ask for your information to be passed to another organisation.

To use any of these rights, email info@hopechurchsalford.org. We will reply within one month.

Making a complaint

If you are unhappy with how we have used your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
